Free hoa board meeting minutes template
HOA minutes are the association's official record of what the board decided. They should show who attended, that there was a quorum, and every motion with who made it and how the vote went. They don't need to record every comment. Your state's laws and the association's bylaws set what minutes must include and who can see them.
Paste it into Google Docs, Word, Notion or an email. Replace the [brackets].

How to use this template
- Record actions, not debates: each motion's wording, who moved and seconded it, and the result.
- Note the quorum at the start, and again if a director leaves before a vote.
- For executive session, record only that it was held, the general topic and any action taken.
- Send draft minutes to the board quickly, mark them 'Draft' and approve them at the next meeting.
- Check your state law and bylaws for what minutes must include and how owners can request them.

What should HOA board meeting minutes include?
The association's name, meeting type, date, time and place, directors present and absent, the quorum, approval of previous minutes, reports, each motion with who moved and seconded it and the vote, any executive session, and the time of adjournment.
Who takes the minutes at an HOA meeting?
Usually the board secretary, or the community manager on the secretary's behalf. The board then approves them.
Should HOA minutes include homeowner comments?
Briefly. Note who spoke and the topic; the minutes record what the board did, not every opinion.
Can homeowners see HOA minutes?
In many states, yes: owners can request association records, including approved minutes. Check your state law and bylaws for the rules and timeframes.
Is this hoa board meeting minutes template free?
Yes. Copy it into Google Docs, Word, Notion or an email and use it as often as you like. No sign-up needed.
