Zapier

Connecting Acta.ai to other apps with Zapier

Send what Acta gets from your meetings to the apps your team already uses, without writing code

Acta already sends meeting notes to Notion, Google Drive and Confluence, sales updates to Salesforce, HubSpot and Zoho, and tickets to Jira, Asana and other ticketing tools. Zapier is for every other app: Slack, Google Sheets, Trello, Pipedrive, Linear and thousands more. You make a Zap once (when this happens in Acta, do that in another app) and it runs after every meeting.

What Acta sends to Zapier

Five triggers. Each one is instant: Acta sends the item to your Zap as soon as it is ready.

New Meeting Outcome

When: A meeting is summarized

Title, date, link, participants, summary, topics, key takeaways, decisions and action items

New Transcript

When: A meeting's transcript is ready

The whole transcript with speakers and times

New Action Item

When: Once for each action item from a meeting

The task, its owner and due date, and the meeting it came from

New Sales Update

When: A Sales template (MEDDPICC, SPICED, SPIN or BANT) has run on a meeting

The template's report, the same one Acta sends to Salesforce, HubSpot or Zoho

New Ticket

When: Once for each ticket a template suggests

Title, description, type, priority and assignee, the same as Acta sends to Jira or Asana

How to connect

You need Acta Pro (or the free trial) and a Zapier account. It takes about five minutes.

  1. 1

    Open Integrations in Acta

In the left sidebar choose Integrations, find Zapier and click Connect. Acta’s page in Zapier opens in a new tab.

  2. 2

    Create a Zap

In Zapier, click Create Zap. For the trigger, search for Acta and pick one of the five triggers, for example New Meeting Outcome.

  3. 3

Sign in to Acta and choose Allow

Zapier asks you to sign in to Acta. Acta shows what Zapier will get; choose Allow. You only do this once for all your Zaps.

  4. 4

    Test the trigger

Zapier shows your latest item from Acta (from the last 60 days), so you can see the fields before you use them.

  5. 5

    Add the action

Choose the app the item should go to, for example Slack, Google Sheets or Trello, and put Acta’s fields where you want them.

  6. 6

    Publish the Zap

Turn the Zap on. From now on, each new item goes to your app a moment after Acta has it.

Ideas for Zaps

New Meeting Outcome → Slack: post the summary and decisions in your team channel
New Action Item → Trello, Todoist or Monday.com: add a card or task for the owner
New Sales Update → Pipedrive or a Google Sheet: add the deal notes
New Ticket → Linear or GitHub: open an issue
New Transcript → Google Docs or Dropbox: save the transcript

Good to know

  • Zapier only gets meetings you can see in Acta, and it only reads: it can’t change, delete or share anything in Acta.
  • Each item goes to a Zap once. Editing a meeting later does not send it again.
  • New Sales Update needs a Sales template to have run on the meeting; New Ticket needs a template that suggests tickets.
  • Acta in Zapier is part of Pro, and works during the 15-day free trial.
  • To stop, turn the Zap off in Zapier, or disconnect Zapier in Acta’s Integrations page. Disconnecting stops all your Zaps that use Acta.

Troubleshooting

The test finds nothing

The test shows your latest item from the last 60 days. Hold or upload a meeting first; for sales updates and tickets, run the matching template on it.

The Zap stopped getting meetings

Check that the Zap is on in Zapier and that Zapier is still connected in Acta’s Integrations page. If your free trial ended, Acta sends again once you have Pro.

Signed in with the wrong account

On Acta’s sign-in page choose “Not you?”, or in Zapier remove the Acta connection and add it again.
